Removing the Form Instead of Optimising It

A B2B CRM developer spent months struggling to move prospects into product trials. Instead of optimising a complex registration form, we questioned why the form needed to exist at all – and redesigned the journey so users could experience value before being asked for commitment.

Evidence, interpretation and commercial implication from the MAXPRIMACY Intelligence Hub.

Read the evidence, not only the conclusion.

MAXPRIMACY Intelligence separates observation, interpretation and implication wherever the material allows. Research pieces should also state method and limitations explicitly.

Situation
A CRM software developer in a highly competitive B2B market had spent approximately 2.5 months trying to generate meaningful product trials. Interest existed, but potential customers were not moving far enough into the product experience.

Question
What was preventing prospective customers from reaching the point where the CRM could demonstrate its value?

What We Examined
The entire entry sequence: registration requirements, required company data, technical dependencies, first-use experience and the point at which real customer information actually became necessary.

What We Found
The registration process demanded commitment before the product had created enough value to justify it.

The obvious improvement would have been to shorten the form.

The stronger solution was to question whether a registration form was needed at all.

Decision
Replace the registration process with a single Enter action.

The CRM automatically generated temporary credentials and allowed the prospect directly into the working environment. The user could explore the product, begin configuring the system and only later replace the temporary data with real company information when they wanted to retain their work.

What Changed
The sequence changed from:

Interest -> Data Request -> Registration -> Product

to:

Interest -> Product -> Value -> Identification

Result
After approximately 2 weeks with little meaningful movement, the client reported that the new approach finally began moving prospects into product use and strongly praised the change.

We deliberately should not invent a conversion percentage.

What We Learned

Do not optimise friction that does not need to exist.

And:

Commitment is easier to earn after value has been experienced.
